Current Opportunity:
The holder of the role to be an enthusiastic individual to provide a warm welcome to guests, deliver administrative support as per internal processes and regulations and needs in a timely manner and a high-quality standard
What You’ll Be Doing:
You will cooperate with Receptionists, Team & Executive Assistants, HR, External suppliers, Office and Facility and Procurement teams among others. Your daily activities will include, but not limited to:
- Administration and Upkeep of Headquarters: Supporting the smooth functioning and organization of the company’s headquarters, ensuring the office remains well-organized by following safety guidelines and reporting any issues or unsafe conditions.
- Greeting and Directing Visitors: Welcoming guests, new employees and other visitors and directing them appropriately.
- Reception Area Maintenance: Keeping the front desk and reception area clean, organized, and presentable at all times.
- Managing Phone and Email Communication: Answering incoming calls, taking messages, transferring calls, and responding to general inquiries professionally.
- Scheduling and Coordination: Managing appointments, meetings, booking meeting rooms.
- Mail and Delivery Handling: Receiving, sorting, and distributing incoming and outgoing mail and packages.
- Office Supplies and Inventory Management: Monitoring, ordering, and maintaining stock of office supplies in an efficient and cost-effective manner, ensuring the back-office storage area is well organized.
- Travel arrangements: Coordinating travel arrangements, including booking tickets and accommodation for employees (especially those without dedicated support).
- Access Control: Manage access cards evidence, monitoring visitors’ access, providing and ensuring return of access cards in line with building security procedures.
- Administrative Support: Providing general clerical support such as filing, photocopying, data entry, and assisting internal departments as per internal processes or as instructed by superior.
- Internal System Operations: Handling internal system orders (e.g. TAS), including travel request processing and related expense reporting.
- Central Contact Role: Acting as a central point of contact for guests, internal teams, and external vendors, ensuring clear and professional communication, which requires also good knowledge of organisation structure and departments’ responsibilities.
- Team Support and Backup: Providing front office support and substituting for the Barista or other Assistants during their absence when necessary.
- Other Duties: Performing other tasks, activities, or projects as assigned by the supervisor or management.
What We’re Looking For:
- Completed secondary education (A-level or equivalent) or higher
- English Language (Intermediate level), Czech/Slovak language (fluent)
- Office 365 (MS Word, Teams, MS Excel)
- Friendly and welcoming behavior with a positive attitude
- Demonstrates a high standard of personal presentation
- Excellent verbal and written communication skills
- Strong organizational abilities and attention to detail
